About this Role
The Global Events Specialist will be responsible for planning, coordinating, and executing a variety of high-impact events for clients, such as annual employee engagement weeks, heritage months, and network activities across multiple global locations. This role requires strong project management skills, creative event planning, and the ability to work collaboratively with internal and external stakeholders to foster a culture of belonging and inclusion.
Key Responsibilities:
- Event Planning & Coordination:
• Lead the planning and execution of week-long employee engagement event series, including panels, workshops, and social activities.
• Coordinate network-focused events across various global locations, ensuring each site is well-organized with clear communication, logistics, and resources.
• Develop and manage event timelines, budgets, and logistics for all events.
• Collaborate with internal groups to design and deliver events that reflect diverse interests and foster a sense of community for our clients. - Stakeholder Management:
• Work closely with internal teams, network leaders, design teams, external vendors, and other key stakeholders to ensure alignment with broader organizational goals.
• Engage with internal leaders and external partners to secure sponsorships, speakers, and resources for events.
• Maintain regular communication with site contacts across different locations to manage local event needs, including venue setup, food and beverage coordination, and digital signage. - Content & Program Development:
• Design innovative and impactful content for events, including speaker sessions, panel discussions, and interactive activities.
• Create engaging materials, such as toolkits and event flyers, that effectively communicate the objectives and themes of the events.
• Manage the development of playlists, presentations, and other media to enhance the attendee experience. - Logistics & Execution:
• Oversee the logistics for all events, ensuring seamless execution from start to finish.
• Coordinate the technical and AV needs for virtual and in-person events, including live interpreters when necessary.
• Manage onsite and virtual event support teams to ensure events run smoothly and meet attendees’ expectations. - Evaluation & Reporting:
• Develop and distribute post-event surveys to gather feedback and assess the impact of events.
• Analyze event data to identify trends, successes, and areas for improvement.
• Prepare reports on event outcomes and provide recommendations for future activities.\
Qualifications:
- Experience:
• 3+ years of experience in event planning, project management, or a related field.
• Proven experience in managing large-scale events across multiple locations. - Skills:
• Strong project management skills with the ability to manage multiple events simultaneously.
• Excellent communication and interpersonal skills, with the ability to work effectively with diverse teams and stakeholders.
• Creative problem-solving abilities and a keen eye for detail. - Proficiency in event management software, virtual meeting platforms (Zoom, MS Teams), and basic design tools (e.g., PowerPoint, Canva).
